TA2 - Comprehensive overview of the business process
Delta Property Management Company owns and operates over 1,000 units in Pittsburgh PA. The company (1) markets the property for rent, (2) performs tenant screening and move-in, (3) rent collection and (4) maintenance and repairs. We examined the prospective tenant screening and move-in process.  The stakeholders of this process are the administrative assistant in the office who receives calls and reviews application, the building managers, the tenants, input data operator for rent deposits, the president and the bank.  The business process that is outlined below is the Prospective Tenant screening and Move-in:
·      The office (administrative assistant) receives a call (via telephone) from a prospective tenant or the building manager receives an email (company’s computer system) from prospective tenant.
·      The information of the prospective client is forwarded to the building manager. The building manager will contact the prospective tenant and answer questions and show the unit upon request.
·      A legally compliant rental application will be sent to prospective client to fill out.
·      The application is returned with the $35 application fee to building manager.  The building manager forwards it to office for the administrative assistant to review. The administrative assistant reviews the application for completeness.
·      A background check is performed on the tenants by the administrative assistant. This includes calling application references and doing a search on the internet for any other information that may create a “red flag”.
·      A decision is made to accept or turn down a tenant. This is ultimately done by the collaboration among the administrative assistant, building manager and the president.
·      If the application is rejected, the administrative assistant notifies the prospective tenant.
·      If the application is accepted, an agreed upon date is set for a move-in inspection and the walk through is completed by the building manager. Any problems are noted and passed on to maintenance. Any noted problems and issues are fixed by maintenance.
·      Collection of the security deposit (month’s rent amount) and pet security deposit ($45/pet) is paid.  The data input operator uses a software system called Rent Manager to record tenant and payment.  The check is deposited into the Bank.
·      Tenant moves in.
Delta Property Management’s information system facilitates the tenant screening and move-in process well.  The screening and move-in process enables the company to accomplish its overall strategy of providing full service rental in the Pittsburgh area.
